Assignment Board

For Meet Managers & Admins. Each guide explains the access needed for its task.

How Do I Place Volunteers on the Assignment Board?

The board fills a meet session by session. Columns show sessions and pool areas; rows show jobs and slots. An unlocked meet can be edited by someone with management access, whether it's Listed, Open or Closed. Closing sign-ups only stops officials signing up or cancelling themselves; you can keep placing, moving and typing in substitutes.

Placing someone

Select an open slot and choose an eligible, available official. You can also select a name from Available and then a slot, or drag using the handle. On a phone, tapping is usually easier than dragging. The Available list can be filtered by session and job. Turn on “Show everyone who can work this job” to also see people who signed up for a different job but can work this one.

Pools staffed by end

When a pool setup staffs a role from both ends (see the setup guide), that role gets a column for each end — e.g. “Start End” and “Turn End” — so you can tell at a glance which end someone is placed at. A role only ever gets end columns where it actually works both ends; a role staffing just one end (say, Inspectors of Turns only at the far end during finals) instead shows a single column tagged with that end's name, so you don't see a column of empty slots for every other role. Any Relief slots for a role appear in their own row below the end rows.

The collapsed per-session summary counts each end separately too, e.g. “Start End 8/10 · Turn End 10/10 · Relief 0/2”.

Moving someone between ends or slots

To move someone already placed — between ends, between lanes, or anywhere else in the same role and session — drag them with the handle, or on a phone select their filled slot and choose Move, then select the open slot to move them into. This is different from removing them: a move keeps their placement and sends a single “assignment updated” email on a published meet, rather than a removal email followed by a new assignment one.

Removing or replacing an assignment

Select a filled slot and use its removal action. Then choose the replacement. A released first-come slot may immediately promote an alternate, so check the result rather than assuming it stays empty.

Typing in a substitute

If a person isn't available as a linked official, you can enter a substitute name in an open slot. It appears on the board and published grid but doesn't create an official record or earn attendance/points credit. Remove the placeholder and place the linked official when available if their work needs to count.

Closing spots you won't staff

Some roles only work some lanes or ends — for example, Inspectors of Turns on all 10 lanes at one end but only 5 at the other, or only the odd lanes. Select an open slot and choose Close spot. A closed spot shows grey and reads “Closed”. Nobody can sign up for it or be placed in it, and it's left out of the counts: 20 spots with 5 closed reads as 15 needed. It's also left out of attendance and points, and doesn't stop you locking the meet.

To undo it, select the closed spot and choose Reopen. A reopened spot is filled like any other open spot. Referee and Assistant Referee spots can't be closed; lower the number needed instead. Closed spots stay closed when you re-apply the pool setup. A closed spot belongs to its lane or end: it stays there, and it is never moved to another lane. If you lower a role's number so that lane or end is no longer used, the closed spot is removed with it. A closed spot can also be removed when someone already placed needs that place and no other spot is free. For a role that isn't staffed by lane (numbered spots like “Judge of Stroke 2”), lowering the number removes empty open spots before closed ones.

Understanding the warning

Placement warnings follow the official's current record and clear by themselves when that record changes. A yellow qualification warning means the official does not hold the qualification or level the job needs. A quieter grey note means the job is opt-in and the official has not ticked willing-to-work; their club admin may mark them as willing from the board or profile.

Point to or focus a name to see that official's person card. Selecting a name in Available keeps the card above the filters while you choose a slot; on a phone, the card appears at the top of an assigned slot's menu. Qualification pills use the same colours as the officials roster: In Progress, In Progress with sign-offs started, and Completed. Grey “Opted in” pills show support jobs the official has volunteered for. Help never grants permission to bypass a placement rule.

Locked meets

The board stays viewable but editing is disabled. Unlocking is a separate management action. Attendance and locking.
