For Meet Managers & Admins. Each guide explains the access needed for its task.
Creating a Reusable Message Template
Templates save club messages such as pre-meet information or a thank-you. Saving a template doesn't send anything.
Writing a template
From Messaging, create a template with a recognizable internal name, subject and body. The toolbar supports basic formatting, lists and links.
Meet-specific text
Write {{ meet }} in the subject or body to insert the meet's name when sending from a meet. A published-grid link is added to meet messages automatically. For club-wide messages without a meet, write text that doesn't depend on meet details.
Reusing it
Choose the saved template when composing, then edit the message for this audience. Check the preview before sending. Editing or deleting a saved template doesn't change messages already sent.

Sending a Message to Your Team or a Meet’s Volunteers
Start from a meet's management page, Messaging for a whole-club message, or selected officials on the roster. You can use a template or write a one-off message.
Choosing a meet audience
- Assigned: officials placed in the meet's slots.
- Signed up: officials with active sign-ups, including requests not yet placed. A manually placed official without a sign-up isn't necessarily in this audience.
- Invited teams: officials in the host, co-host and invited clubs. This wider audience is restricted to host-club access; delegated managers have the narrower meet audiences.
Club-wide messages target the club roster. Roster-selection messages use the officials selected for that flow. Always inspect the recipient list; the audience names don't guarantee that one list contains every person in another.
Previewing and sending
Preview shows the subject, rendered body, recipients and people skipped for lacking an email address. Nothing has sent yet. Review the list, then use the final send action. Saving a template or previewing doesn't send email.
Each recipient gets an individual copy; other recipients' addresses aren't exposed in a shared recipient list. Sending starts when you confirm, with no scheduling or per-recipient delivery dashboard. A successful send action isn't proof that every inbox received the message.
You can still message a meet after it is locked.
