Club Settings & Points

For Meet Managers & Admins. Each guide explains the access needed for its task.

Setting Up Role Points for Your Club

Role points assign a value to volunteer work. Deck Plan totals the values; your club decides what they mean for its own participation expectations. Points don't gate sign-up or placement.

Setting values

A club admin can edit their own club's role points. Leave roles at the displayed default or set overrides, including decimals such as 0.25. Non-deck jobs appear alongside officiating roles.

When points are earned

When a meet locks, each linked assignment marked Worked earns points. No-show, open slots and substitute-name placeholders don't. The credited club is the official's home club at locking time, falling back to the host if none is set; that club's point configuration is used.

Changing values doesn't rewrite an already locked meet. Unlocking removes its ledger; locking it again recalculates using the then-current attendance, club and values. Attendance and locking.

Looking at another club

Super Admins can use View club to inspect another club's values. That screen is read-only outside their own club. The picker doesn't change their membership.

Adding Non-Deck Jobs Volunteers Can Sign Up For

Club jobs cover tasks such as set-up or concession that don't need an officiating clinic. They are separate from support officiating roles that use willingness ticks.

Adding and using a job

Create a named job in Jobs (under the Admin tab), then add the needed quantity to a session's staffing. A job needs no clinic or Level. It uses the same assignment, attendance and points flow as other roles. Set its value under Role points.

Renaming

Renaming changes the job's label wherever that record is used. It doesn't assign or remove a volunteer.

Deleting: check existing meets first

Deleting a job can also delete existing session staffing requirements and assignment slots for that job. It is not just hiding the job from future choices. Don't delete a job while those records are needed. Recorded points protect a job from deletion; the page explains when that prevents removal.

Viewing another club

A Site Owner (Super Admin) can pick another club with View club and add, rename or delete that club's jobs; the page shows which club is being edited. A Team Admin always manages only their own club's jobs. Each change is recorded in the activity log against the job's club.

Running a Volunteer Points Report

The report totals recorded volunteer work for the selected club and date range. It doesn't enforce family targets or minimum hours.

What counts

Only linked assignments marked Worked and written to the ledger by locking a meet count. A missing meet may still be unlocked, or its assignments may not have been marked Worked.

The ledger records the credited club at locking time, generally the official's home club even when the meet is hosted elsewhere. A later home-club change doesn't move already recorded ledger entries.

Reading and exporting

Choose a start/end date or leave the dates blank for all recorded work. The rows show officials, recorded shifts and points, with summary totals. Export to Excel to share the report or apply your club's own participation rules elsewhere.

Super Admins can inspect another club using View club. Reporting doesn't change the underlying ledger or membership.

Managing Your Club’s Details

The Clubs administration screen is for Super Admins. Team Admins manage their club's operational settings, not the federation's club list.

Adding or editing a club

Supply the club's name and a unique code of 2–5 uppercase letters. Use the club's established code where possible. Deck Plan validates the format and uniqueness; it doesn't verify that code against REMS.

Changing a name or code updates the club record without recreating its officials or meets.

Deactivating and deleting

Deactivation preserves the club and its history and keeps it out of active club choices such as registration. It is not a promise that every historical or administrative list hides it.

Deletion is for unused clubs and can be blocked by officials, meets and other protected history. Prefer deactivation when the club has real records to retain.

Admin access

Making someone a Team Admin explains membership permissions. Changing your home club is a separate member action.
